We appreciate the fact that your time might be limited. So we would like to keep this process free from extra paper work. We have developed a fillable PDF form for you to complete with all of your program details and wishes. We also gladly accept your own RFP, email with suggestions, course syllabus, etc. Just let us know how you would like to get started and we will work with you.
STEP 1: Fill out our easy to use REQUEST FOR PROPOSAL FORM
... to be filled out by you or the faculty leader(s) returned to CEPA Europe.
STEP 2: FIRST PROPOSAL
Depending on the destination and the complexity of your program, we will prepare the first proposal for you as soon as possible. Revisions will continue from both sides until we get everything "just-right".
STEP 3: CONFIRM YOUR BOOKING
... should be approved and signed by you and/or your institution and returned to CEPA Europe.
STEP 4: PROMOTION, RECRUITMENT & ENROLLMENT PERIOD
CEPA Europe can support you during this recruitment process, if requested, with a program tailored marketing support. This can include a flyer and / or a power point presentation for your students, as well as the attendance of a CEPA Europe employee at a specific study abroad fair.
Minimum Enrollment Deadline: 90 days prior to your planned departure day to Europe the promotion and enrollment period ends. This deadline will be stated on your confirmation of booking. The minimum number of paying participants on which your program is priced must be enrolled by then. In case you have less participants enrolled, the program price increases, modifications to the program will be made in order to safe costs or the complete trip will be cancelled.
Payment Schedule: 90 days prior to your planned departure day CEPA Europe needs to be provided by the following information from you: a final list of participants, a rooming list as well as the group’s flight information. Upon receipt of this information, CEPA Europe will send you an invoice informing you of the payment schedule. Payment via bank transfer or check is both possible. The final payment is due 30 days prior to your departure. For information on our cancellation policy, please check our terms and conditions.
STEP 5: PRE-DEPARTURE ORIENTATION
To ensure that you and your students are well prepared CEPA Europe will provide you with a study abroad handbook that includes essential information for your study abroad trip. We suggest pre-departure orientational meetings with all participants, which will help you to eliminate any questions or concerns that they might have.
STEP 6: DEPARTURE TO EUROPE:
Final information about your program will be send to you at least 2 weeks prior to departure in your groups' final itinerary, which all participants should have with them during the entire program as it includes a day by day schedule of activities and locations as well as important notes and emergency phone numbers.
